Introduction<br />
<br />
The Atlantic Canadian Organic Regional Network (ACORN) is a registered not-for-profit cooperative. Started in 2000 by the region's organic farmers and processors, ACORN has effectively become the Voice of Organics for Atlantic Canada, serving as a network from seed to farmer to consumer.<br />
<br />
ACORN has been active in a wide range of technical, marketing and training initiatives to promote and further develop the local organic market and agricultural sector over the years. In early 2019, ACORN reduced services and laid off all employees. The ten-member volunteer board has since focused on restructuring and financial stabilization of the organization.<br />

ACORN aims to enhance the viability and growth of the Atlantic Canadian organic sector through a unified regional network.<br />

ACORN is a non-profit organization that promotes organic sector by:<br />
Facilitating information exchange between and amongst organizations and individuals;<br />
Coordinating non-formal education for producers through to consumers;<br />
Networking with all interested parties both regionally and nationally.<br />

Background<br />
<br />
In early 2019, the ACORN board of directors set to work stabilizing and restructuring the nearly 20-year old not-for-profit cooperative in preparation for the next 20 years. Since that time, the volunteer board members have been engaged in basic operational tasks such as communications, membership relations, bookkeeping, and fundraising all while trying to set a strategic direction for the organization.<br />

As a board of mostly farmers, there is limited time for volunteering and as such, now that the cooperative is financially stable--though greatly reduced in its capabilities--it is time to establish contracted services for basic communication and administrative responsibilities to a capable individual or organization.<br />

Nature and Scope of Work<br />

Responsibilities<br />

Board Relations<br />
Report to ACORNs Board of Directors, Executive Committee<br />
Upon invitation, occasionally participate in Committee/Board meetings<br />
Liaise between Treasurer and bookkeeper when necessary<br />
Submit basic activity reports to update membership committee/board<br />
<br />
Communications:<br />
Direct any accounts payable and receivable to appropriate authorities<br />
Conduct regular correspondence as directed/defined by ACORN Board<br />
Respond to enquiries from membership (overseen by Membership Outreach Committee)<br />
Manage membership administrative communications (e.g. follow-up emails, and any back-and-forth communications, but notably not crafting outreach messages, which will continue to be done by the board)<br />
Redirect complex communications to the ACORN Board<br />
Assist in the preparation of the monthly newsletter as directed by Communications Committee<br />
Maintain ACORN Events and Classifieds webpages as directed by Communications Committee<br />
<br />
Administer membership services for ACORN as directed by the ACORN Board, including:<br />
Assist membership committee to manage the membership list and online database<br />
Process new members and renewals<br />

Objectives<br />
<br />
Support ACORNs Board of Directors in meeting the following objectives:<br />
Ensure all ACORN members receive continuity of service and communications<br />
Ensure the ACORN newsletter fulfills role as the Atlantic Canada organic regional hub for organic sector information<br />
Reestablish ACORN as a consistent and reliable hub for information and communication for the organic sector in Atlantic Canada.<br />
Increase membership and connect with current members as an active organization<br />
Generating revenue for organization for long-term sustainability<br />
Promote networking events with education value for members and generate revenues for ACORN.<br />

Deliverables<br />
Monthly operations reports for the board review<br />
Monthly newsletters created on Mad Mimi<br />
Regular updates to the Classifieds web page on the ACORN website<br />
Deliver bi-monthly reports on progress towards meeting ACORNs membership targets<br />
Propose an events program<br />

$1000 per month for six months. Potential for renewal for additional 6 months.<br />

Proposal Response guidelines<br />
Work will not be subcontracted without prior approval from the Board of Directors<br />
Responses must be received by January 6, 2021 at 5 PM Atlantic Standard Time<br />
Only short-listed proposals will be contacted for an interview<br />
Incomplete applications will not be considered<br />
Applications will be accepted from both individual and organizational contractors<br />

Committee representatives Guy Gautreau (Communications), Membership Outreach (Judy Loo), and Fundraising & Finance (Theresa Richards) will be the main points of consultation for operational responsibilities while the board chair, Joey Pittoello, will convey final decisions on behalf of the board when appropriate.<br />
