Hiring: Office Administrator<br />
Organization: Island Nature Trust<br />
Location: Charlottetown, Prince Edward Island<br />
<br />
The Office Administrator takes care of the organizations day-to-day operations and supports donor relations.<br />
<br />
Finance / Bookkeeping (10%)<br />
Support the Finance and Operations Manager with finance and bookkeeping tasks and deliverables, including :<br />
Payables<br />
Receivables<br />
Bank deposits<br />
Support the Manager of Philanthropy with grant and contribution applications<br />
<br />
Contract and Service Management (5%)<br />
Support the Finance and Operations Manager with the administration of contracts and services as they pertain to general operations. This includes, but is not limited to:<br />
Office lease<br />
Utilities<br />
Cleaning contract<br />
Insurance<br />
Photocopier<br />
Repairs and maintenance<br />
Ensure office, cleaning and hospitality supplies are ordered and stocked<br />
<br />
HR / Staffing/ Volunteer Support (10%)<br />
Post job/volunteer opportunities to various outside sources and organize with Communications/IT personnel that opportunities are posted to INTs website and social media<br />
Receive/collect applications for screening<br />
Organize interviews and/or orientations with appropriate staff<br />
Ensure all required documents for employment or volunteering are collected<br />
Ensure all new staff are set up with what they need to start work (computer, email account, software, desk, chair
.)<br />
Support/mentor any OJT or student placements in administrative roles<br />
Coordination and implementation of group health benefits for permanent staff<br />
<br />
File Administration (10%)<br />
Manage employee files in compliance with policies<br />
Manage volunteer files in compliance with policies<br />
Manage all financial, operational, governance and board files in compliance with policies<br />
<br />
Donor / Sponsor Relations (25%)<br />
Receipt individual and corporate donors<br />
Accept payments and donations from individuals and businesses<br />
Invoice and receipt sponsors<br />
Track donations, sponsorships, and sales of merchandise to provide to the Finance, Philanthropy and Operations Manager on a monthly basis<br />
Organize appropriate thank you letters and/or gifts as per donor relations policy<br />
Organize and implement mail out campaigns (e.g. Christmas cards, newsletters)<br />
Assist the Manager of Philanthropy with developing and supporting relationships with members, monthly donors, corporate sponsors, and other donors<br />
Capture individual donor information into the INT database<br />
<br />
General Administration (30%)<br />
Greet people<br />
Answer phones<br />
Mail pick-up and delivery<br />
Coordinate office housekeeping and cleaning schedule<br />
Support other staff with host/hostess duties relating to visitors to the office (e.g., make coffee, organize snacks)<br />
Manage the general/admin email<br />
<br />
Other Duties (10%)<br />
Organize bi-annual staff and management retreats<br />
Organize staff birthday lunches<br />
Track and re-stock retail and gift items<br />
Assist the land acquisition team with the collection of files/deeds<br />
Assist Manager of Philanthropy with donor and volunteer appreciation events<br />
Assist Manager of Philanthropy with fundraising events<br />
Assist ED and Management team as requested<br />
<br />
EXPERIENCE, SKILLS, AND QUALIFICATIONS<br />
Experience in office administration (required)<br />
Office Administration Certificate or Business Administration Degree or equivalent (required)<br />
Course work and/or experience using Sage Accounting software (asset)<br />
Adept at using Office 365 products (required)<br />
Superior organizational skills and ability to multitask (required)<br />
Excellent communications skills (verbal and written) (required)<br />
Attention to detail (required)<br />
Interest in INTs core functions (asset)<br />
<br />
BENEFITS & WORKING CONDITIONS:<br />
This is a full-time permanent position at 112 Longworth Avenue, Charlottetown constituting 37.5 hours a week Monday to Friday, with some evening and weekend work required occasionally<br />
Salary to commensurate with experience, $20-23/hour<br />
Three weeks annual vacation<br />
Up to 10 sick days/year<br />
Health and Dental benefits (after three-month probation period)<br />
