Hi there Brian,

Glad to see you're making a difference in the City of Cambridge. It's great to hear that your department is looking to improve the communications and outreach aspects of your Urban Forestry Program. Keep it up!

I've been fortunate enough to have worked with a number of municipalities and boroughs so I have a few examples to share with you in the enclosed .zip file. Feel free to extract and consult the enclosed documents. Unfortunately not all of these notices are bilingual but Google Translate will give you the jist of it.

Also, to answer your questions :


  *   What works better – a die cut door tag or a post-it style stick-on note?
  *   Post-it style adhesive can get a little complicated in wet and sub-freezing conditions. I have found that the door tag format is the easiest but if there is a mail slot on site, I usually stick the notice in to avoid it getting lost or damaged, but that's just me.


  *   Do you have different notices for different situations?  Tree planting, removal, EAB, etc
  *   I'm sending you a examples few from the City of Montreal. The check box/list format can be handy, that way your inspectors can use the same notice for a multitude of situations and you can save on printing costs. You'll also find a specific planting notice from Quebec City that may also be useful for mass planting programs. There is a removal notice and a brochure about roots as well.


  *   What considerations to you give for accessibility – large print versions, contrast colours, etc
  *   I have worked with communications advisors who have always suggested concise phrases that are easy to understand. We avoid anything too technical although it is handy to have a space to write comments. If more information is necessary, we provide it in the space but we recommend our citizens call us if additional details or explanations are needed. I have also been told that it is preferable to avoid colours such as red which can be perceived as agressive, but again that's comms talking.


  *   Any examples you could send would be greatly appreciated.  We’ll reciprocate with ours once we’re done.
  *   Hope these examples help. I have included a removal notice from the City of Westmount (the city prefered formal letters to residents for tree work). I have also taken the liberty of including an informational brochure on tree roots that the borough of Saint-Leonard gives to citizens inquiring about tree roots and damage. Hi everybody – me again,

We’re revamping our doortags and handouts – right now we’re working on our notices that forestry inspectors give to residents.  We’re looking at the municipal angle, but I’m sure there’s some overlap here with the private sector.

We’ve got a few questions:
