Membership and Communications Assistant, Atlantic Council for International
Cooperation (ACIC) - Halifax, NS
The Atlantic Council for International Cooperation (ACIC) is looking for a
responsible, experienced person for the contract position of Membership and
Communications Assistant. The Membership and Communications Assistant is
responsible for:
Administrative Support
Provide administrative support to the Executive Director and staff;
Assist with the coordination of meetings, and conference calls, including
preparation and distribution of agendas, minutes, and supporting documents;
Organize logistics for workshops, Annual General Meeting, and other events,
including registration, venue selection, catering, travel arrangements,
etc...;
Assist in identifying and researching potential funding opportunities;
Assist with preparation of funding proposals and reports;
Assist with the recruitment of interns and organizing training
opportunities;
Respond to general and membership-related inquiries;
Back-up electronic files using proper procedures; and
Other administrative duties such as filing and maintaining office supplies,
as assigned.
Member Relations
Develop and maintain membership files and mailing lists;
Assist in the on-going development/maintenance of membership processes
including preparing, and coordinating the mail-out of membership packages,
and processing membership applications;
Liaise with members and potential members on an on-going basis;
Support the Membership Committee and Board of Directors in reviewing and
maintaining membership policies and procedures, as necessary.
Communications
Draft ACIC communications materials, including email announcements,
quarterly newsletters, and occasional news releases;
Maintain and update ACIC website content;
Assist in the preparation of written reports, such as annual reports; and
Represent ACIC at events, fairs, and other outreach opportunities.
Desired Qualifications:
Detail-oriented, with a demonstrated ability to organize work, set
priorities, meet deadlines, monitor progress towards goals and track
information;
A demonstrated ability to work independently on a wide variety of assigned
duties and projects;
Excellent computer skills - including creating and working with Access
databases, using mail merge in Word, working with Excel to create
spreadsheets, graphs, etc..., and creating presentations using PowerPoint;
Experience developing and publishing websites using Dreamweaver;
Experience in editing, layout, and publishing of newsletters and other
documents;
Excellent written and verbal communication skills - bilingual in English and
French highly desirable;
Experience in public relations and working with the media;
Experience organizing logistics for workshops, conferences, and other
events; and
Experience working with non-governmental organizations and/or an interest in
international development an asset.
Location: Halifax, NS
Salary: $12/hour, 20 hours per week
Contract Period: 1 year (with 3 months probationary period)
