Position: Project Coordinator
Organization: Thinkwell Shift
Location: Halifax, Nova Scotia. Hybrid- The position is in office with some work from home options
Efficient Product Installation Service PROGRAM COORDINATOR
SUMMARY STATEMENT:
This key leadership position has collaborative responsibility for the execution and successful operation of Efficient Product Installation Service. The position includes responsibilities for program planning, customer service, and partnership management. The Coordinator handles multiple responsibilities, solves complex problems and provides leadership, supervision and direction to the Customer Specialist & Advisors ensuring consistency with the programs vision.
As a representative of the program, the Program Coordinator will utilize excellent judgment to develop credible and meaningful relationships with business and or the community ensuring the strictest confidentiality. He/she will work closely with the President and the Senior Program Manager to identify opportunities and resolve concerns.

Subordinate Staff: Customer Service Specialists & Customer Advisors
Internal contacts: Thinkwell Shift Inc. Director, President, Senior Program Manager
External contacts: Efficiency Nova Scotia stakeholders, Nova Scotia residents
MAJOR RESPONSIBILITIES/DUTIES:
Program Execution/Implementation/Evaluation:
Support and Direction to Customer Service Specialist & Customer Advisors:
Scheduling of appointments & optimizing time
Managing bookings according to proximity
Program Information
Coordinating with Manager & maintaining updates
Communication (Stories, Social Media, Photos)
Inventory and Supplies
Supporting Customer Advisors in the field
Personnel
Support with the recruitment, hiring, orientation, and performance management of Customer Advisors
Supervise Customer Advisors & Specialists daily tasks
Collaborate with Program Manager to ensure consistency in program delivery
Meetings Logistics (Invites, Location, Content development, Travel Accommodation)
Social Media
Content Creation
Content Curation
Audience Engagement
Analytics
Daily Operations
Program Expenses Tracking and Direction
Mileage and Traveling
Program Expenses
Managing Team Communications (Phone Calls Emails)
Media/Public Relations
Liaise with professional associations/advisory committees.
Develop and maintain professional contacts.
Develop and maintain ongoing relationships with business, industry and community organizations to identify and assess their training needs.
Identify and develop alternate delivery opportunities.
Prepare and send training proposals to clients and negotiate terms and cost of training.
Develop contracts and terms of agreement for contract training/events.
Review course/program/instructor evaluations with the Operations Manager and utilize the data to plan, modify or cancel programs.
Customer Service
Represent Thinkwell Shift and Efficiency Nova Scotia on internal and external committees/organizations
Communicate clearly with customers about program expectations & deliverables
Budgetary Responsibilities:
Along with the Program Manager develops a program area budget to meet targets/operating margins as established with the President.
Along with the Program Manager establish individual budgets.
Work with the Program Manager to resolve budget issues and discrepancies.
Analyze monthly financial information as provided by the Manager and adjust planning as appropriate.
Utilize financial information to plan or modify Customer Advisor transportation needs
REQUIREMENTS/QUALIFICATIONS:
Degree in relevant fields (i.e. environment, business, arts) or equivalent.
Demonstrated experience in an entrepreneurial environment.
Strong interpersonal, relationship building and conflict resolution skills.
Creative problem solving skills.
Excellent oral, written, analytical and technical skills.
Strong organizational and planning skills.
Ability to determine priorities, be self-directed and work with minimal supervision.
Proficient in a variety of computer applications.
Strong leadership and team-oriented skills.
PERFORMANCE CRITERIA:
The performance criteria shall include factors related to the tasks set out in the position description, annual major objectives, and special assignments. Work output will be measured in outcomes and positive results, not hours spent.
