Position: CRM Database Administrator, Fundraising Team
Organization: Ecology Action Centre
Location: During COVID, this position has been working remotely. Post-COVID, the position is expected to be working primarily on-site with some remote work. On-site work will be at our Halifax office at 2705 Fern Lane, Nova Scotia

The Ecology Action Centre (EAC) is an environmental charity based in Miꞌkmaꞌki/Nova Scotia. ABOUT YOU

You have an understanding of the non-profit sector and place high value in applying your knowledge of relationship management systems (CRM) and analytical capabilities to meaningful work that has a positive impact on community and the environment. Your inquisitive personality and problem-solving which will enable you to acquire in-depth skills around relationship and database management. You have experience in database improvement, maintenance, and are eager to use your creativity, initiative and excitement about the possibilities of the CRM. You enjoy collaborating with diverse groups and thrive in a dynamic fast-paced workplace, always looking for the next challenge to tackle.

YOUR FOCUS

As the CRM Database Administrator, you work closely with all members of the fundraising team, providing administrative support and access to holistic information allowing the team to effectively utilize data to secure essential revenues for environmental projects and EAC staff.

This position is responsible for the day-to-day configuration, support, maintenance and improvement of our donor and membership tracking system, CiviCRM. This is an open-source CRM built by non-profits for non-profits using a web-based interface. As the main contributor to CiviCRM, you will be expected to interact regularly with others in the global CiviCRM community in order to find creative solutions to new problems, advancing EAC’s work by understanding of how members and donors interact with us to keep them engaged and connect past donation to help seed new campaigns.

Key elements of this work will include:
• Assist membership team with donor communications as needed, including:
• Mass e-mailings to donors and ensuring all donor communications/notes are tracked in donor files
• Coordinate bulk mailings such as packaging and mailing membership/fundraising communication
• Writing thank you letters and/or calling donors to thank them for their contributions.
• Send out prospect letters for the 1% for the Planet program
• Segment our database and target our communication
• Provide support with Sustainability ally touch point calls and research new potential Sustainability Ally prospects
• Optimize the use of the CiviCRM database and connected online fundraising platforms for an easier donation experience including:
• Clean and streamline donor database
• Database improvement, maintenance
• Create reports and generate lists and create route maps for the Canvass Team
• Maintain record keeping and archives ensuring the appropriate retention and destruction processes are followed for any confidential data
• Develop instructional materials and trains people in CRM data entry and basic management to ensure CiviCRM is understood by new and existing users; and helps the system to grow and evolve
• Respond to any inquiries users may have about the system
• Update donor database, maintain accurate membership and donor records while identifying opportunities to improve systems and increase team’s efficiency
• Help the fundraising team in meeting monthly engagement targets by providing detailed data lists and research support

WHAT YOU WILL BRING
• Minimum six (6) months related administrative experience is preferred.
• Experience using CiviCRM, Blackbaud, Raiser’s Edge, SalesForce or other CRM with an ability to quickly master new technology and comfortable using open-source CRM
• Understand the broader context of web technologies, some knowledge of system integration and experience developing with a variety of PHP, Javascript, Drupal, WordPress, CSS framework or content management systems
• Demonstrated ability to meet deadlines, and handle and prioritize simultaneous requests
• Ability to work collaboratively, independently or remotely with minimal direction and/or supervision when required
• Working knowledge of Microsoft Office (Word, Excel, Access, PowerPoint)
• Strong customer service and phone etiquette skill
• Highly organized with attention to accuracy and detail
• Creative and analytical thinker with strong problem-solving skills
• Excellent communication and interpersonal skills with an ability to work with people of varying technical skills.
• A willingness to learn
• Previous fundraising experience and/or an interest in developing a career in fundraising is beneficial
• An interest in environmental issues in Miꞌkmaꞌki/Nova Scotia
• Flexibility to work evenings and some weekends

TERMS OF EMPLOYMENT

This is position is 37.5 hours a week (Mon-Fri). Wage starts at $18.75 per hour (based on relevant experience).

1 year contract from January 31st 2022 to January 27th 2023 (possibility of renewal)
• Four weeks of paid vacation; cost-shared benefits plan
• Position begins as soon as possible
• During COVID, this position has been working remotely. Post-COVID, the position is expected to be working primarily on-site with some remote work. On-site work will be at our Halifax office at 2705 Fern Lane in our renovated, energy-efficient green office building. The first floor of our building is designed to be universally accessible.
