Hiring: Office Administrator
Organization: Island Nature Trust
Location: Charlottetown, Prince Edward Island

The Office Administrator takes care of the organization’s day-to-day operations and supports donor relations.

Finance / Bookkeeping (10%)
• Support the Finance and Operations Manager with finance and bookkeeping tasks and deliverables, including :
• Payables
• Receivables
• Bank deposits
• Support the Manager of Philanthropy with grant and contribution applications

Contract and Service Management (5%)
• Support the Finance and Operations Manager with the administration of contracts and services as they pertain to general operations. This includes, but is not limited to:
• Office lease
• Utilities
• Cleaning contract
• Insurance
• Photocopier
• Repairs and maintenance
• Ensure office, cleaning and hospitality supplies are ordered and stocked

HR / Staffing/ Volunteer Support (10%)
• Post job/volunteer opportunities to various outside sources and organize with Communications/IT personnel that opportunities are posted to INTs website and social media
• Receive/collect applications for screening
• Organize interviews and/or orientations with appropriate staff
• Ensure all required documents for employment or volunteering are collected
• Ensure all new staff are set up with what they need to start work (computer, email account, software, desk, chair
.)
• Support/mentor any OJT or student placements in administrative roles
• Coordination and implementation of group health benefits for permanent staff

File Administration (10%)
• Manage employee files in compliance with policies
• Manage volunteer files in compliance with policies
• Manage all financial, operational, governance and board files in compliance with policies

Donor / Sponsor Relations (25%)
• Receipt individual and corporate donors
• Accept payments and donations from individuals and businesses
• Invoice and receipt sponsors
• Track donations, sponsorships, and sales of merchandise to provide to the Finance, Philanthropy and Operations Manager on a monthly basis
• Organize appropriate thank you letters and/or gifts as per donor relations policy
• Organize and implement mail out campaigns (e.g. Christmas cards, newsletters)
• Assist the Manager of Philanthropy with developing and supporting relationships with members, monthly donors, corporate sponsors, and other donors
• Capture individual donor information into the INT database

General Administration (30%)
• Greet people
• Answer phones
• Mail pick-up and delivery
• Coordinate office housekeeping and cleaning schedule
• Support other staff with host/hostess duties relating to visitors to the office (e.g., make coffee, organize snacks)
• Manage the general/admin email

Other Duties (10%)
• Organize bi-annual staff and management retreats
• Organize staff birthday lunches
• Track and re-stock retail and gift items
• Assist the land acquisition team with the collection of files/deeds
• Assist Manager of Philanthropy with donor and volunteer appreciation events
• Assist Manager of Philanthropy with fundraising events
• Assist ED and Management team as requested

EXPERIENCE, SKILLS, AND QUALIFICATIONS
• Experience in office administration (required)
• Office Administration Certificate or Business Administration Degree or equivalent (required)
• Course work and/or experience using Sage Accounting software (asset)
• Adept at using Office 365 products (required)
• Superior organizational skills and ability to multitask (required)
• Excellent communications skills (verbal and written) (required)
• Attention to detail (required)
• Interest in INTs core functions (asset)

BENEFITS & WORKING CONDITIONS:
• This is a full-time permanent position at 112 Longworth Avenue, Charlottetown constituting 37.5 hours a week – Monday to Friday, with some evening and weekend work required occasionally
• Salary to commensurate with experience, $20-23/hour
• Three weeks annual vacation
• Up to 10 sick days/year
• Health and Dental benefits (after three-month probation period)
